Sierra How-To Guide: Create an ILLiad or EZBorrow Item Record Manually (On the Fly)

Create an ILLiad or EZBorrow Item Record

After you receive books through ILLiad as normal, you need to add this ILLiad item to the Sierra system 

1. Open Sierra. Go to Function dropdown 

  • Look for the Cataloging module 

  • Select the Catalog function 

2. Click New icon (top right-hand ribbon)  

3. Select the bibliographic template you need. They are organized by EZBorrow, ILLiad, and Course Reserve Items. Click Select Button.

4. A new bibliographic record template will appear. You will be prompted to enter the Title of the item you are creating a manual record for. Click Next button.

5. Verify that the correct item template is selected. Click Select.

6. In the New Item screen, scroll down to the Barcode field and enter the OCLC ILL number OR EZBorrow Request Number OR Course Reserves barcode number.

7. Click Save at the top of the window.

8. A window will open asking "Perform duplicate checking?" Select No.

9. At the top of the window, select Close.

You have successfully added this ILL item to the Sierra system! Continue to the next step. 

 

 

Place the Item on Hold

Next, we need to place the item we just created in Sierra on "Hold" for our patron. This action adds the item record to the patrons account, so both staff and the patron can see that the item is now on their account. Please see the Adding a Hold section of this guide to place the item on hold. 

NOTE: Although it appears under the Holds section of their account, the patron WILL NOT get a pick-up notice until you complete the final steps.

Send Pick-Up Notice to the Patron

Lastly, we need to signal to Sierra to send a Pick-Up Notice to the patron. Please see the Processing Holds section of this guide to learn how to send a notice to the patron. 

Every day at 6am, Sierra automatically sends Holds Pick-up Notices to patron @duq.edu email addresses  

If you need to alert the patron sooner, either email them yourself or ask Amy Lee to run additional Notices.
