Checking out Journals

Beginning on July 1, 2016, Gumberg Library will extend journal check out privileges to all affiliated faculty, staff, and students. The paper circulation forms will be phased out and circulation staff will now create on-the-fly records as needed to circulate journals.

Library staff members will need to log into Sierra before the correct On-the-Fly templates will appear. The general student-staff Sierra log in is unable to create on-the-fly bib records.

Journals circulate for two weeks, with a renewal period of two weeks.

Process for checking out journals that are already barcoded: The user brings the journal to circulation. Follow typical checkout procedures. If the item is in the system, it will check out for two weeks. If the item is NOT in the system, see the process for checking out journals below.

Process for checking out journals that are NOT already barcoded: The user brings the journal to circulation. Follow typical checkout procedures. Retrieve a barcode from the filing cabinet and place in the standard spot on the back cover of the journal (skip this if there is already a barcode in place).

Scan the barcode. It will prompt you to create a bib record. Input your login and password.

Next, a window will open asking you to create an item on the fly. Skip the Search step, instead in the upper right hand corner click New.

It will then prompt you for the volume information. In this field, input the journal title, the volume, and the date. Click Next.

Verify that the barcode matches the one you placed on the item.

Click Save.

The item will now be checked out to the user. Close the transaction and desensitize the item.
