Covidence

The purpose of this guide is to provide tutorials and resources for the standards based review tool, Covidence. This guide is aimed at graduate students, faculty, and others involved in the process who are interested in utilizing Covidence.

Importing References into Covidence

Covidence supports files containing XML, RIS, or PubMed format.  When exporting files from databases, it is important to save the file in XML, RIS, or PubMed format.

When conducting a systematic, scoping, or integrative review, it is recommended to download all references from each completed search.

Below you will find instructions on how to import references directly from these specific databases:

  • Cochrane Library
  • EBSCOhost (APA PsychInfo, CINAHL, etc.)
  • Embase
  • ProQuest
  • PubMed
  • Scopus

Cochrane Library

Complete your desired search in Cochrane. Click select all on the left hand side or manually select the references you want. Click Export selected citation(s) and select RIS EndNote as the format. Click the blue Download button to export the references. Click to open the downloaded RIS file and EndNote will automatically open and display your newly imported references from Cochrane.

 

Importing into Covidence

To import your Cochrane references, go to Covidence home page and click the blue Import button under the Import References section. 

Click the first drop down menu to choose to Import in to Screen

Optionally, you can select Cochrane Library as the source if so desire.

TIP: You may have to manually add Cochrane Library as an option in the source list. Click Manage sources and then add Cochrane Library. Click Add

You should now see Cochrane Library in the options list.

Click Browse to find the file you just downloaded from Cochrane Library (check your downloads folder). Select the file and click the blue Import button.

If your import was successful, you'll be redirected to the Covidence homepage and the Import References section will show your most recent upload under the Import History.

EBSCO

Gumberg Library subscribes to EBSCOhost databases like CINAHL, APA PsychInfo, SPORT Discuss, etc. For a full list, click here.

Follow the steps below to download results from EBSCOhost databases. For this example, I am searching CINAHL.

Complete your desired search in your EBSCO database. Click the checkbox to select all of the references for your search or export all results (up to 25,000).

 

Select Export in RIS format. Your file should download a few moments later. Click on the file to open your references in EndNote. 

 

Importing into Covidence

Go back to the review home page and click Import. 

 

Select the Screen option from the drop down menu, click Choose File, and then select the file you previously saved.

 

Once you click Import, Covidence will import the uploaded files and remove any duplicates. After the references are uploaded, you can view the duplicates on the home page, by clicking on the number of total duplicates removed to ensure Covidence accurately screened the uploaded references. Covidence also keeps an Import History that allows you to view duplicates from separate imports.

Exporting from Embase

Complete your desired search in Embase. From the drop down menu, select the number of results you would like to export.

 

Click Export. Choose the RIS format and click Export.

Once your file is ready, click Download and then Save your file. 

  • Your browser might be set to automatically open this file in EndNote. If that's the case, you'll need to locate where the file downloaded on your computer in order to import it into Covidence. 

 

Importing into Covidence

Go back to the review home page and click Import. 

 

Select the Screen option, click Browse, and then select the file you previously saved.

 

Once you click Import, Covidence will import the uploaded files and remove any duplicates. After the references are uploaded, you can view the duplicates on the home page, by clicking View All Duplicates to ensure Covidence accurately screened the uploaded references.

 

Exporting from ProQuest

Complete your desired search in ProQuest. On the results page, scroll to the bottom to see an option to choose the number of items displayed per page.

Increase the number of items you choose per page to the maximum amount.

 

At the top left of the page, click Select 1-100. Continue to select references to your desired amount. In order to avoid any loss of references, try to limit the export amount to 500. Then at the top right of the page, click the icon with three dots to Save and select RIS format.

 

A pop-up box will open to confirm the number of items selected and the output format. Select RIS format. When you click Continue the file will automatically download. When it has completed, Save your file.

  • Your browser might be set to automatically open this file in EndNote. If that's the case, you'll need to locate where the file downloaded on your computer in order to import it into Covidence. 

Importing into Covidence

Go back to the review home page and click Import.

Exporting from PubMed

After you complete your desired search in PubMed, click the Save button.

Choose the results you want to save for Selection. For Format, select PubMed, then click the Create File button to save it.

Importing into Covidence

Exporting from Scopus

To download from Scopus, you now must create a free account. For more information on creating a free account, click here

Complete your desired search in Scopus. On the results page, click All and in the drop-down menu, click Select all.

 

Once you've selected the maximum amount of results, click Export and select RIS format. Select Citation Information, Bibliographical Information, and Abstract & keywords. Click Export. Click the Track Status pop up and you will be see the download button for your file. Download and Save the file.

  • Your browser might be set to automatically open this file in EndNote. If that's the case, you'll need to locate where the file downloaded on your computer in order to import it into Covidence.
