Duquesne Borrowers Who Wish to Borrow from Other Libraries

Gumberg Library maintains a number of lending agreements with area libraries which permit Duquesne students, faculty, and staff to borrow materials from those libraries. Alumni are not permitted to participate in reciprocal borrowing programs.

In order to borrow, users must come to the circulation desk and obtain a document which authorizes privileges.

Duquesne users can review the reciprocal institutions at the Borrowing from Other Libraries website.

If a Duquesne user wishes to obtain materials from a library who participates in the PALCI Reciprocal Borrowing program, staff should:

  • Ask to see the user's Duquesne ID.
  • Check the PALCI website to ensure that the lending institution is a participant and (if applicable) extends privileges to students.
    • The University of Pittsburgh only extends privileges to faculty.
  • Fill out the PALCI Reciprocal Borrowing Authorization Form.
    • Faculty and graduate students are given privileges for the academic year.
    • All other users are given privileges for one semester.
    • All users who wish to borrow during the summer must complete a new form.
  • Check Sierra to ensure that the user's account is in good standing (i.e. no overdues or fines)
  • Check that the user's account is not expired.
    • If the account will expire within a month, refer to Tanya, Brandon, or Amy Lee for approval.
  • Sign the form and instruct the user to take the form and their ID to lending library.
  • If time permits, call the reciprocal library and inform them that a Duquesne user will be borrowing materials.

If a Duquesne faculty member wishes to obtain materials from an OCLC participating library, staff should:

  • Ask to see the user's Duquesne ID.
  • Check the OCLC website to ensure that the institution is a participant in the OCLC faculty borrowing program.
  • Check Sierra to ensure that the user's account is in good standing (i.e. no overdues or fines)
  • Check that the user's account is not expired.
    • If the account will expire within a month, refer to Tanya, Brandon, or Amy Lee for approval.
  • Issue an OCLC Reciprocal Faculty Borrowing Card, located in the filing cabinet, and tell the faculty member to take the card and their ID to lending library.

If a Duquesne user wishes to obtain materials from the Pittsburgh Theological Seminary, staff should:

  • Ask to see the user's Duquesne ID.
  • Fill out the Onsite Borrowing Form.
    • Faculty and graduate students are given privileges for the academic year.
    • All other users are given privileges for one semester.
    • All users who wish to borrow during the summer must complete a new form.
  • Check Sierra to ensure that the user's account is in good standing (i.e. no overdues or fines)
  • Check that the user's account is not expired.
    • If the account will expire within a month, refer to Tanya, Brandon, or Amy Lee for approval.
  • Sign the form and instruct the user to take the form and their ID to the Barbour Library.
    • Their hours, location, and policies are listed on their website.

If a Duquesne user wishes to obtain materials from the Byzantine Catholic Seminary, staff should:

  • Ask to see the user's Duquesne ID.
  • Fill out the Onsite Borrowing Form.
    • Faculty and graduate students are given privileges for the academic year.
    • All other users are given privileges for one semester.
    • All users who wish to borrow during the summer must complete a new form.
  • Check Sierra to ensure that the user's account is in good standing (i.e. no overdues or fines)
  • Check that the user's account is not expired.
    • If the account will expire within a month, refer to Tanya, Brandon, or Amy Lee for approval.
  • Sign the form and instruct the user to take the form and their ID to the Byzantine Catholic Seminary library.
    • Their hours, location, and policies are listed on their website.

If a Duquesne user wishes to obtain materials from the Trinity Episcopal School for Ministry, staff should:

  • Ask to see the user's Duquesne ID.
  • Fill out the Onsite Borrowing Form.
    • Faculty and graduate students are given privileges for the academic year.
    • All other users are given privileges for one semester.
    • All users who wish to borrow during the summer must complete a new form.
  • Check Sierra to ensure that the user's account is in good standing (i.e. no overdues or fines)
  • Check that the user's account is not expired.
    • If the account will expire within a month, refer to Tanya, Brandon, or Amy Lee for approval.
  • Sign the form and instruct the user to take the form and their ID to the Trinity Episcopal School for Ministry Library.
    • Their hours, location, and policies are listed on their website.

If a Duquesne user wishes to obtain materials from Mercy Hospital, staff should:

  • Ask to see the user's Duquesne ID.
  • Fill out the Onsite Borrowing Form.
    • Faculty and graduate students are given privileges for the academic year.
    • All other users are given privileges for one semester.
    • All users who wish to borrow during the summer must complete a new form.
  • Check Sierra to ensure that the user's account is in good standing (i.e. no overdues or fines)
  • Check that the user's account is not expired.
    • If the account will expire within a month, refer to Tanya, Brandon, or Amy Lee for approval.
  • Sign the form and instruct the user to take the form and their ID to the Brady Library at Mercy Hospital.

Reciprocal Borrowers from Other Libraries

Duquesne University maintains a number of reciprocal agreements with regional libraries. If a user from a reciprocal institution wishes to borrow materials, Circulation staff must register the users in Sierra to extend privileges.

  • Reciprocal borrowers are permitted to check out up to 10 items. Most items circulate for 28 days, with 1 renewal.
  • AV materials and kits circulate for 7 days with one renewal.
  • Reciprocal borrowers are not permitted to borrow from special collections, including the Phenomenology Center.

If a user from a PALCI reciprocal borrowing institution wishes to borrow materials from Gumberg Library:

  • They MUST HAVE A COMPLETED PALCI Reciprocal Borrowing Authorization Form from THEIR INSTITUTION and verify that it is signed 
    • ASD STAFF: If the  PALCI borrower doesn't have this form, call their home institution, verify over the phone and/or have the home library staff send a copy of the completed form.
  • Ask the user to show a valid university ID from the home institution.
  • Create a user account in Sierra.
    • Ptypes: Reciprocal, 171
    • Expiration dates:
      • Recip Faculty & Grad: end of academic year
      • Recip Undergrad & Staff: end of current semester

If a faculty member from an OCLC participating institution wishes to borrow materials from Gumberg Library:

If a user from a Pittsburgh Theological Seminary wishes to borrow materials from Gumberg Library:

If a user from Byzantine Catholic Seminary wishes to borrow materials from Gumberg Library:

If a user from Trinity Episcopal School for Ministry wishes to borrow materials from Gumberg Library:

If a user from Mercy Hospital wishes to borrow materials from Gumberg Library:

Special Borrowers

Gumberg Library grants circulation privileges on a case-by-case basis to clergy and religious personnel, to staff at area schools that have made special arrangements with the Curriculum Center, and occasionally with other users who have been granted prior permission.

  • Special borrowers are permitted to check out up to 20 items. Most items circulate for 28 days, with 1 renewal.
  • AV materials and kits circulate for 7 days with one renewal.
  • Reciprocal borrowers are not permitted to borrow from special collections, including the Phenomenology Center.

Clergy and religious borrowers must present a letter of introduction by emailing library-circ@duq.edu or in person to the Circulation Manager stating their affiliation within a diaconate or religious educational institution, their purpose for using the Gumberg Library collections, and the length of time that they will require access to materials.

If a clergy member or religious borrower wishes to borrow from Gumberg Library:

  • The user must show valid, state-issued ID.
  • Confirm that they have permission. You should have received an email from Tanya. The approved users are also in the file folder in the file cabinet at Visitor Registration.
  • The user should fill out a Reciprocal and Special Borrower Form.
  • If a special borrower is approved, you will need to create an account:
    • Ptype: Special User, 160
    • Expiration date: varies according to agreement with user.

The Curriculum Center maintains a number of agreements with area schools to extend privileges to their staff. The Curriculum Center coordinator will provide a listing of all staff who are authorized to check out from Gumberg Library.

If a Curriculum Center special borrower wishes to borrow from Gumberg Library:

  • The user must show valid, state-issued ID.
  • Confirm that they have permission. The approved lists of users are in the file folder in the file cabinet at Visitor Registration, alphabetical by school name.
  • The user should fill out a Reciprocal and Special Borrower Form.
  • Check Sierra to ensure that they do not have an account. If they do not, you will need to create an account.
    • Ptype: Special User, 160
    • Expiration date: end of academic year.

Duquesne University maintains a relationship with St. Anthony's School and permits students who work on campus to check out materials from the library.

If a student from St. Anthony's School wishes to borrow materials from Gumberg Library:

  • They must show their Duquesne issued ID.
  • The user should fill out a Reciprocal and Special Borrower Form.
  • Because they are special needs students, their counselor or supervisor is permitted to fill out registration forms on their behalf.
  • Check Sierra to ensure that they do not have an account. If they do not, you will need to create an account.
    • Ptype: High Schools, 162
    • Expiration date: end of term

 

Special borrowers may be approved on a case-by-case basis by emailing library-circ@duq.edu or in person to the Circulation Manager stating their purpose for using the Gumberg Library collections, and the length of time that they will require access to materials.

If a special user has received permission to borrow from Gumberg Library:

  • The user must show valid, state-issued ID.
  • Confirm that they have permission. You should have received an email from Tanya. The approved users are also in the file folder in the file cabinet at Visitor Registration.
  • The user should fill out a Reciprocal and Special Borrower Form.
  • If a special borrower is approved, you will need to create an account:
