Billing and Replacements Policies and Procedures: Gumberg Library

Payments

How to make a payment:

If you have been charged for a lost or damaged item, you can view the charge on your library account. To make a payment, you can pay online via credit card. The online payment portal can be located here on Duquesne University's website. Once your payment is received, the charge from your library account will be cleared and you will have access to request new items.

Unreturned Gumberg Library Items

If you don't return your items, you will be charged a replacement fee after a period of weeks. Replacement fees, once charged, are non-refundable. Because of this, we urge you to return your materials or contact us.

Billing extremely overdue library items is a multipart process.

As a library borrower, you will receive courtesy email notices when your library items are due as well as notices once they are overdue. Notices are a courtesy and are not always guaranteed. Please use your library account to keep track of due dates. Your library account is blocked from borrowing or requesting books as soon as items are one day overdue.

The library system will automatically assess a $100 charge for each overdue item that you have borrowed after 28 days. It is imperative that you return your items as soon as possible to avoid charges. The $100 charge is not the final replacement cost for overdue materials. A final charge for the cost of the item will be calculated and charged to you. Items that include multiple parts such as kits may also be processed a $25.00 processing fee to cover the cost of materials and labor.

Library staff will contact you regarding your overdue materials. Failure to reply to library staff will result in a charge to your library account in the amount described above. For students, after one month, the charges will be sent to student accounts after which time, refunds are not permitted.

Information regarding our loan times can be located on our website here for current students and here for faculty and staff.

Item Statuses

Overdue

This item status indicates that an item is anywhere from 1-28 days overdue from being returned to the library. During this period, patrons will receive weekly emails notifying them to return their items as soon as possible to avoid any replacement costs.

Billed

This item status indicates that an item has been overdue 28 days or longer. A temporary replacement charge is placed onto the users account until an official replacement charge is determined.

Claims Returned

This item status is added when a patron claims they have returned an item to Gumberg Library, but the item remains as "checked out" on their account. Library staff will search for the item for 4 weeks, and we ask that the patron do the same on their end as well. If the item is found by either party, all fines are waived and the item is checked back in, removing it from the patron's account. If the item cannot be located, library staff will determine if the item needs to be replaced, and if the patron will be charged for replacement costs.

If you believe you returned materials but they are still on your account, you can request that the Library search for those items. Please contact us at 412.396.6130 or by email at ask@duq.libanswers.com.

On Search

This item status indicates that while an item appears in Gumberg Library's catalogue, the item is not in it's proper location and library staff is actively searching for the item. Library staff will search for the item for 4 weeks, and then determine if the item will be replaced if it cannot be located.

In Repair

This item status indicates that an item has been damaged or a necessary component of it is missing. Library staff is repairing the item, or waiting for a replacement component to arrive. The item may be added back into the catalogue once repaired, if possible.

Missing

This item status indicates that library staff has searched for an item for 4 weeks, and cannot locate the item. Library staff will then determine if the item needs to be replaced.

Lost

This item status indicates that library staff has determined the will not be replaced. The item will be removed from the catalogue.
